Pay Stub Template for Word
A free, blank pay stub template for Microsoft Word — employer and employee details, earnings, deductions and net pay laid out in tables you type straight into.

The document is one letter-size page built from four plain tables, so it stays aligned when you type and is easy to change: rename a deduction, add a row, drop a logo above the title. It opens in Word, Google Docs, Pages and LibreOffice.

What this template leaves to you
- Nothing is calculated: gross pay, every tax, the totals and net pay are typed in by hand.
- Year-to-date figures have to be added up from the earlier stubs each time.
- A typo in one cell doesn't show up anywhere — check that gross pay minus total deductions equals net pay before you send it.
Get the tax figures from the free paycheck calculator, check what your state requires on a stub in the state pay stub requirements, or skip the arithmetic and create the pay stub online.
Word pay stub template questions
Does Microsoft Word have a pay stub template?
Word's built-in template gallery changes and doesn't always include a pay stub. This one is a standard .docx file, so it opens in any version of Word from 2007 on without needing the gallery.
Can I open the Word pay stub template in Google Docs?
Yes. Upload the .docx file to Google Drive and open it with Google Docs. The tables and shading carry over, and File → Download → PDF saves the finished stub.
Can I add my company logo?
Yes. Click above or beside the Earnings Statement title and use Insert → Pictures. Keeping the logo under about one inch tall leaves everything on a single page.
How do I work out the income tax lines?
Federal income tax withholding comes from the employee's Form W-4 and the IRS tables in Publication 15-T, and state withholding from the state's own formula, so neither is a flat percentage. Our free paycheck calculator gives both figures for any state, and the pay stub generator fills them in for you.
Is it legal to make a pay stub from a template?
Yes — an employer or a self-employed person can prepare their own pay stubs, and a template is one way to do it. What matters is that the figures are true. Putting false wages or deductions on a pay stub to mislead a lender, landlord or agency is fraud.
